Who We Are and Who Is Responsible
Oxford Art Academy is a children's and teens' art school at 14 Oxford St, Unit 201C, Richmond Hill, ON L4C 9S3. We are responsible for the personal information in our control, including information we pass to the service providers listed below. Responsibility for our compliance with this policy rests with the School Director, who can be reached at info@oxfordart.ca.
What We Collect
- Trial bookings and registration: the student’s first and last name, date of birth, whether the student is a child or an adult, any subject or program preference, and the parent or guardian’s name, email address and phone number.
- Enquiries: your name, your email address, and whatever you choose to include in your message.
- Enrolment and payment records: the classes a student is registered for, amounts invoiced, and whether payment was received. We do not store credit card numbers.
- Website logs: our hosting provider keeps standard server logs, such as IP address, browser type and pages requested, for security and reliability.
- We collect only what we need for the purposes below. This website sets no cookies of its own and runs no analytics or advertising trackers.
Why We Collect It
- To arrange a trial class and confirm a day and time with you.
- To place a student in a class suited to their age and level, and to teach them.
- To contact you about a booking, a schedule change, a closure, or a question you have asked us.
- To invoice you and record payment.
- We do not sell your information, and we do not share it for anyone else’s marketing.
Your Consent
We collect your information when you give it to us, by submitting a form, sending an email, or registering a student, and we use it only for the purposes described above. You may withdraw your consent at any time by emailing us, subject to any records we are required to keep. Withdrawing consent may mean we can no longer provide classes to your child.
Information About Children
Information about a child is given to us by their parent or guardian, and we use it only to arrange and deliver classes and to communicate with that parent or guardian. We do not ask children for their own information through this website, and we do not use children’s information for marketing. A parent or guardian may see, correct or delete what we hold about their child at any time.
Who Else Handles It
- TutorBird, our booking and student management software. Sign-up forms on this website submit directly to TutorBird, and student records are kept there.
- Resend, delivers enquiry emails from this website to our inbox.
- Google, we use Gmail for our email, so correspondence with us is stored there.
- BlooTrue, displays reviews that are already public on our site. It does not collect information about you.
- Some of these providers store or process information outside Canada. While information is outside Canada it may be accessible to the courts, law enforcement and national security authorities of that country.
- Each provider handles information under its own terms, and we share with them only what they need to do their job.
How We Protect It
This website is served over an encrypted connection. Access to student records and to our email is limited to school staff who need it, and those accounts are password protected. We review who has access when staff change. No system is perfectly secure, but we take steps appropriate to the sensitivity of what we hold, and information about children is treated as sensitive.
How Long We Keep It
We keep student and family records while the student is enrolled with us and afterwards only for as long as we need them for the purposes described in this policy, or for as long as the law requires. Enquiries that do not lead to a booking are kept in our email. If you would like your information removed sooner, email us and we will do so unless we are required to keep it.
Seeing, Correcting or Deleting Your Information
- You may ask us what personal information we hold about you or your child, how we have used it, and who we have shared it with.
- You may ask us to correct anything that is wrong or out of date. Keeping our records accurate matters to us as much as to you.
- You may ask us to delete it, or to stop using it.
- Email info@oxfordart.ca. We will respond within 30 days. If we cannot give you what you have asked for, we will explain why.
If You Have a Complaint
Please tell us first, by emailing us, we would rather hear about a problem and fix it. If you are not satisfied with our response, you can bring a complaint to the Office of the Privacy Commissioner of Canada at priv.gc.ca. The Commissioner normally asks that you raise the matter with us before coming to them.
Changes to This Policy
If we change how we handle personal information, we will update this page and change the date shown at the top. Material changes will be brought to the attention of families currently enrolled.
